LANcraft Events - Terms & Conditions, Rules & Guidelines

Welcome to the LANcraft event! We are excited to have you join us for a fun and safe experience. Please take a moment to read through the following rules and guidelines carefully. By purchasing a ticket and attending the event, you agree to abide by all rules set forth by LANcraft Events. These rules apply to everyone attending the event.

General

  1. We reserve the right to add to or amend these Terms from time to time. Amendments will take effect when posted on the official event website & social media channels. Please check the FAQs section regularly for changes and to ensure you have up to date information as these are binding on you. If you purchase a ticket after any amendment to these Terms, you agree to be bound by the updated version of these Terms.We don’t exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by its negligence or the negligence of our employees, agents or subcontractors OR for fraud or fraudulent misrepresentation.

  2. In the event that any part of these terms and conditions are held to be illegal, invalid or unenforceable, such provisions will be severed and the remainder of these Terms and Conditions shall continue in full force and effect.

  3. Failure by us to enforce a right does not result in a waiver of such right. You may not assign or transfer your rights under these terms and conditions.

  4. English law applies to these terms and conditions and any dispute between us arising out of or in connection with these terms and conditions will only be dealt with by the English courts, unless you are resident in another part of the United Kingdom, in which case the applicable law of that part of the United Kingdom will apply and any dispute will be brought before the courts there.

  5. Strictly no trading or other commercial activity, by any ticket holder, will be allowed at the event without the organiser’s prior written consent.

  6. The organiser accepts no responsibility for goods or services purchased from third party traders.

  7. The organiser, its partners, sponsors, exhibitors and their respective parents of affiliates are not responsible for any injury, damages or financial loss incurred by attendees.

  8. No external food or drinks, including alcohol, are allowed to be brought onto the venue site.

  9. Rubbish and other unwanted items must be disposed of using the bins and recycling points provided.

  10. Anti-social behaviour will not be tolerated and anyone found acting in such a way will be immediately ejected without refund.

  11. Strictly no animals (with the exception of Assistance Dogs) will be allowed on the site.

  12. Specific rules and restrictions may apply to some venues we use, which will form part of these terms and conditions for any events that are held at those venues – any breach of those rules will be treated as a breach of these terms and conditions. Please contact us or the venue for more details about such rules if you are unsure.

  13. We ask that you refer to the venue website or email us directly for any support in relation to carers, accessibility or other specific disability support.

Admission, Tickets and Refunds

  1. By booking your ticket(s) to one of our events you agree to be bound by these Terms and Conditions, and to abide by the Community Guidelines. 

  2. The event organisers and venue operator reserve the right to refuse admission.

  3. No admission without a valid ticket.

  4. All ticket types are non-transferrable. 

  5. Tickets purchased from third party sources may not be genuine and therefore may not guarantee you entry to the event.

  6. In the event of event cancellation, tickets will automatically be transferred to the next scheduled event, but refund requests will be accepted up to 30 days after the cancelled event with no cancellation fee. After this point our standard refund policy will apply.

  7. Tickets can be cancelled up to 60 days in advance of the first event day, after this time no ticket refunds will be issued. 

  8. All ticket cancellations are subject to a 10% cancellation fee deduction.

  9. Discount codes are subject to availability and can be removed from use without prior notice.

  10. Only the first scanned ticket to arrive at the event will be allowed entry; any subsequent ticket with the same barcode will be denied access. You are responsible for the access to your provided ticket after purchase.

  11. The organisers and premises licence holder/venue will not be held liable for any loss, injuries or damages sustained at the event including damage, theft or losses to property and motor vehicles.

  12. Tickets cannot be used as part of any marketing, media or sales promotion whether commercial or non-commercial without prior written permission of the event organisers.

Age Policy

  1. There is no specific age restriction to attend our event, however, children under the age of 16 must be accompanied by an adult at all times while at one of our events. 

  2. All such children are the responsibility of their accompanying adult at all times while at the event.

  3. While we do not expect older children and teenagers to be with their parent or guardian at all times, we do expect them to know the location of their adult, and have means of contacting them, or agreed meeting points. 

  4. The guardian is responsible at all times for minors, failure to monitor the behaviour and activities of those in their care will result in eviction from site.

  5. Some products are age restricted. If you cannot provide ID that is valid you will be unable to buy age-restricted products, such as alcohol or PEGI rated games.

  6. Accepted ID includes; photographic driving licence, proof of age card with PASS hologram or a passport. 

  7. Photocopies, bank cards or IDs shown on your phone, will not be accepted.

  8. Attendees between the ages of 16 and 17 will need to have a signed parental consent form to gain entry into the event. These forms will be checked before the event to ascertain authenticity.

Security & Safety

  1. The event and the venue has a rigorous search process at the entrances into the venue, and you may be searched on entry. If you are found to be in possession of any prohibited items, these shall be confiscated and you must immediately leave the venue and not be permitted entry to the event.

  2. We have a no illegal drugs policy. Anyone caught in possession of such substances, will be refused entry at the gates or ejected immediately from the event site.

  3. Drunken, disorderly, or aggressive behaviour will not be tolerated by any event or venue staff; and may result in being ejected from the event site.

  4. Persons who cause any damage to the venue, our property or third party property, whether deliberate or accidental, while at the event will be liable for the cost of repair or replacement of the items.

  5. Prohibited items include; knives (including locking knives), sound systems, glass bottles (excluding makeup and perfume), fireworks, explosives, BBQs, smoke and gas canisters, air horns, flares, any weapons or items we believe in our sole discretion to capable of injuring others, laser devices, drones and unmanned aerial vehicles, sky lanterns, food preparing equipment. This list is not exhaustive so please confirm with the venue or the event organiser if you are not sure about an item you wish to bring.

  6. At the search and entry point, ticket holders will be given the opportunity to give up prohibited items in their possession. All items found will be confiscated, and not returned. The event organiser and venue operator, reserve the right to refuse entry or evict all persons found in possession of prohibited items.

  7. As part of our ongoing commitment to safeguarding, anyone who is a convicted child sex offender, subject to the notification requirements of the Sexual Offences Act 2003, or subject to a Sexual Risk Order, Risk of Sexual Harm Order or Child Abduction Notice is not permitted to purchase tickets to, or attend any of our events.

Media and Filming on site

  1. Filming and Photography is allowed throughout the public site, for personal, non-commercial use on personal devices such as mobile phones, tablets and compact cameras. Such photography must be done respectfully to both your fellow visitors to the event, the event itself and the venue.

  2. Official media or event photographers will wear a Press/Media Pass; and no other professional or commercial filming or photography is permitted without prior consent from the event organisers.

  3. Anyone using cameras, or filming equipment (including all mobile devices) are expected to be courteous to their fellow event attendees and ask permission before taking any up-close shots. Please do not take pictures or videos of children other than your own or those in your party. If it is brought to our attention that a picture or video has been or is being taken without permission or without an official press pass, you will be required to delete the material and the photographer may be evicted from the event.

  4. By entering the event you grant LANCRAFT EVENTS LTD permission to use your image in any publicity, marketing or promotional materials.

  5. As a condition of sale, the ticket holder consents to being filmed, photographed and recorded for television, feature films, radio, webcast and other public broadcast and/or for any video/DVD or by onsite CCTV cameras and recordings for safety and security purposes.

LAN Rules

  1. All attendees are responsible for keeping the nearby aisle clear of personal belongings or equipment, so fire escapes are available at all times.

  2. While attendees are provided with a standard chair, an attendee may bring a suitable office chair or gaming chair of their own, but it must not take up an unreasonable amount of space in the aisle.

  3. Downloading and sharing of copyright protected work on the LAN network is illegal and not allowed.

  4. Every customer must bring a surge protection extension lead for connection to the event power sockets we provide. These units will help protect equipment from damage should there be a power surge or power loss. No responsibility will be accepted by LANCRAFT EVENTS LTD for any damage caused to equipment due to the absence of a surge protector.

  5. You are unable to plug anything else into the provided power supply other than your PC or console and monitor. Device charging must be achieved via your PCs USB ports.

  6. For the avoidance of doubt, high power appliances are strictly prohibited, such as space heaters, kettles, refrigerators and microwaves. This is not an exhaustive list.

  7. If your computer is seen to be causing problems to the network, your computer may be disconnected from the network for investigations.

  8. We advise that every visitor coming to the event protects themselves from the network with the appropriate protection software and operating system settings.

  9. The organiser takes no responsibility for any personal belongings or equipment that are lost, damaged or stolen during the event. You are responsible for your own property at all times.

  10. Ticket holders under the age of 16 are required to have a parent or guardian accompany them at all times with a consent form completed and signed.

  11. Ticket holders between the age of 16 and 17 are required to complete a parent’s consent form prior to event entry.

  12. Attendees are not allowed to touch, alter or tamper with any of the Organisers’ or other attendees’ equipment. Violators may be ejected from the event.

Event Equipment Rental Terms for Attendees

  1. Acceptance of Terms
    By renting equipment, attendees who purchase the rental services agree to adhere to the terms and conditions set forth in this document. These terms include, but are not limited to, liability for damages, proper care and return of equipment, and payment of all applicable fees.

  2. Liability for Damage, Loss, or Theft
    Attendees who purchase the rental services are fully responsible for the equipment during the rental period. Any damage, loss, or theft of the rented equipment will result in the attendee being liable for repair or replacement costs. The equipment must be returned in the same condition in which it was received.

  3. Payment of Rental Fees
    The equipment rental service is a bookable paid service only. No on-site rentals will be available during the event. Attendees must book and pay for the rental services in advance. Failure to book prior to the event will result in no equipment being available for rental.

  4. Return of Equipment
    Attendees are responsible for returning all rented equipment by the agreed-upon date and in good condition. Late returns may result in additional daily rental fees, which the attendee agrees to pay.

  5. Inspection and Reporting of Issues
    Upon receiving the rented equipment, attendees must inspect it immediately and report any issues or malfunctions to LANcraft Events Ltd and Bryght Ltd. Both companies will have representatives on-site during the event to address any concerns. Failure to report issues immediately will imply that the attendee has accepted the equipment as being in good working condition.

  6. Attendee Responsibility During Use
    Attendees must take appropriate care of the rented equipment and ensure its safe and proper use throughout the event. Any misuse, negligence, or improper handling of the equipment that results in damage or malfunction will be the attendee's responsibility.

  7. Additional Fees for Damaged or Unreturned Equipment
    In the event that the rented equipment is returned in a damaged condition or is not returned at all, attendees agree to pay any additional fees associated with repairs, replacement, or retrieval of the equipment.
